Overview

The Event Manager will manage the event planning and execution of conferences, trade shows, meetings, exhibitions, social events, and special projects to achieve business objectives, including oversight of events ranging from 50-50,000 attendees.

 

The successful candidate will develop and manage a comprehensive operation plan for all setup tasks, floorplans, estimates, gather event logistics such as floor plans/layouts of exhibits/displays, room sets, and oversee vendors and service providers to meet event expectations and goals.

 

The successful candidate will also be required to quickly develop knowledge of the MBCC Event Services, venue, and service contractors needed to successfully execute an event. In addition, the Event Manager will work closely with Sales, Marketing, Venue Operations, Event Operations, Public Safety/Transportation, Finance, Human Resources/IT, Venue Partners, and Stakeholders to strategically plan and successfully execute all event activity.

 

This role will pay a yearly salary of $56,000 to $66,000

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Responsible for the coordination of Priority 2 (P2), Priority 3 (P3) event status and related needs which encompasses city, in-house, and social/banquet events.
  • Review licensee agreement and identify key contract provisions.
  • Acts as the central point of contact during all phases of event management process for clients and service contractors for the MBCC and will be tasked with acquiring, disseminating and distributing event and venue related information.
  • Maintain clear and effective communication with clients to facilitate the planning process at least 8-12 months prior to the 1st contracted date.
  • Compile and input event data into venue event management program (Momentus) to assemble event resumes for distribution to the MBCC team members to efficiently execute client requirements.
  • Ensure that all clients and contractors are familiar with building policies, procedures, rules, and regulations and that they are properly and appropriately enforced for their contractors.
  • Delivery high quality customer services.
  • Generate event estimates and ensure that billable services and equipment are invoice accordingly for event settlement with Finance.
  • Build and maintain strong service partners/contractors relationships.
  • Coordinate pre/post inspection with service partners/contractors.
  • Closely monitor move-in, show, move-out to ensure cleanliness, proper setup and life safety requirements are followed.
  • Provides on-site supervision to ensure show management support for changes and/or unexpected needs are accommodated.
  • Collaborate with Technical Operations Manager to ensure IATSE labor are schedule and estimate is provided to client and/or AV company and Finance Dept.
  • Collaborate with MBCC departments for special event requests.
  • Ensure event checklist deadlines are followed.
  • Generate event related reports for contracted dates.
  • Prepare post event settlement in coordination with the finance department guidelines and deadlines.
  • Other duties and responsibilities as assigned.

 

SUPERVISORY RESPONSIBILITIES:

This job has no direct supervisory responsibilities.

Qualifications

QUALIFICATIONS:

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree from four-year College or university in Event Management, Hospitality, or related industry.
  • Two to three years of event management experience or related public relations, marketing, etc.
  • Working knowledge of the principles of facility management, services and equipment for a similar facility.

SKILLS AND ABILITIES:

  • Strong interpersonal, organizational and customer service skills required.
  • Excellent oral, written, and presentation skills.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Demonstrate critical thinking, problem-solving and communication skills.
  • Bilingual- English/Spanish preferred

 

COMPUTER SKILLS:

  • Demonstrated proficiency with Microsoft Office Suite (MS Word, MS Excel, MS PowerPoint and MS SharePoint and MS Outlook)
  • Knowledge of Momentus Technologies (formerly known as Ungerboeck), AutoCAD, Vector Works or a related event management and design software programs.

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Certified Meeting Professional Certification (CMP) is preferred, but not required.

Incumbent works in an office setting with minimal adverse exposure to environmental hazards. The noise level in the work environment is usually quiet to moderate.

 

WORK SCHEDULE:

The regular work hours is a 5-day work week Monday through Friday; however, this will fluctuate based upon the needs of events and/or projects. Must have the ability to remain available 7 days per week, work long and irregular hours that may vary due to event functions and may include days, evenings, weekends, and holidays.
