Overview

Ensemble Arts Philadelphia is looking for a dynamic Sales and Catering Coordinator

This individual will sServe as support to Sales/Catering team from first contact through event execution processes. Assist Sales Director and Manager in standardizing and maintaining all event processes. Serve as liaison between sales and event services, service, culinary, and other departments for client event purposes. Assess the big picture of events and analyze all orders to determine if they are event ready.

 

This role will pay a hourly salary of $23 to $25

This position will remain open until Dec 31, 2024.

Responsibilities

  • Generate work orders in catering system for events, and update changes as they occur.
  • Communicate with all departments on premise to ensure that all items and details are relayed in all work orders.
  • Import Dry Packs for all events under Equipment and Disposables tab in the catering system.
  • Create and submit rental orders to Party Rentals, Broadway, Smith, etc. for all event types.
  • Review all work orders for accuracy and completion.
  • Serve as a liaison between Event Directors and various departments in the establishment.
  • Attending events when needed to manage staff and assist Sales/Catering Director.
  • Apply for COI’s and liquor permits as needed based on venue requirements.
  • Review Catering/Events calendar and work with Director of Sales to verify all event information is ready for weekly review at Production Meeting.
  • Send weekly pipeline email to Sales Department for the upcoming production meeting
  • Send email invitation and agenda for weekly Production Meeting.
  • Attending and take notes at weekly Production Meetings.
  • Work with AV team (or equivalent) to create event signage for presentation.
  • Send Daily Shop Drop email to inform kitchen and warehouse of rental items coming into the building.
  • Create weekly display menus for Meta’s food and beverage offerings in coordination with the Kitchen, relay them to the Graphic Design department for formatting and print and distribute to the Meta onsite team as directed.
  • Organize and manage staff uniforms for events.
  • Organize and manage walkie-talkies for events.
  • Various related tasks as assigned.

Qualifications

  • Must have strong inter-personal and guest services skills
  • Detail-oriented with strengths in time management, multi-tasking, analyzing and organization
  • Strong computer skills, especially in Excel, Outlook, and Adobe, are desired
  • 2+ years’ experience in event industry preferred
