Overview

Reporting to Executive Chef, the Culinary Administrator supports the Culinary Department by handling administrative tasks such as scheduling, invoice processing, data entry, inventory assistance, and other clerical duties as assigned by the Chef. The role also includes supporting equipment maintenance tracking, purchasing, receiving orders when needed, and facilitating interdepartmental communication.

 

This role pays an hourly rate of $26.00 CAD

Responsibilities

  • Maintain team organization by coordinating calendars, meetings, and documentation.
  • Daily audit of culinary attendance for accuracy.
  • Communicate with the HR Coordinator on culinary team member attendance including late arrivals, no shows, late call outs and injuries.
  • Assist the HR Coordinator in completing and submitting departmental reports, Injury/WSIB Reports as needed.
  • Attend catering meetings.
  • Label suites deliveries, all catering events and retail, concessions, operations orders in alignment with the orders.
  • Perform general clerical duties including filing, scanning, copying, and correspondence.
  • Assist with Culinary Sanitarian to perform consistent Food Safety & Health Internal auditing Inspections to ensure company compliance.
  • Support menu and inventory updates by formatting documents and updating spreadsheets or databases.
  • Manage and restock basic office supplies and ensure equipment functionality.
  • Assist in organizing and tracking preventative maintenance schedules for all kitchen equipment.
  • Process culinary invoices and perform accurate data entry in accounting or inventory systems as assigned by the company.
  • Assist with monthly and year-end inventory.
  • Assist the Warehouse Team with receiving deliveries when the Warehouse Team Members are unavailable.
  • Facilitate internal communication between the Culinary Team and other departments (e.g., Front-of-House, Warehouse, Administration, HR).
  • Provide support during special events or high-volume periods as needed.

  • Maintain open, direct, positive, and objective lines of communication with culinary management.
  • Ability to work in a fast-paced environment while handling multiple tasks calmly, professionally, and with flexibility.
  • Ability to be self-directed in a team-oriented environment.
  • Ability to adhere to highest standards of confidentiality and discretion in all proprietary business, financial, and employee matters.
  • Strong verbal and written skills; ability to communicate in a professional, knowledgeable, and courteous manner with employees, clients, vendors, business contacts, etc.
  • Excellent organizational and planning skills & ability to work with limited supervision.
  • Strong customer service orientation.
  • Excellent communication and interpersonal skills.
  • Ability to interact with all levels of staff including management and peers.
  • Ability to maintain local Health Codes and sanitation.
  • Ability to work hours as dictated by the event schedule, including nights, weekends, holidays and longer hours as required.

Qualifications

  • Culinary, Food Service, Culinary school background or equivalent preferred.
  • High school diploma or equivalent.
  • Minimum of one year of business, general office, and/or accounting experience.
  • Knowledge and skill in using computer software, including MS Word, PowerPoint, Excel and Outlook.
  • Possess strong computer skills, and ability to learn new software systems.
  • An understanding of general food and labor cost is an asset.

Physical Demands:

While performing the duties of this job, the employee is regularly required to stand and walk, work in hot and cold environments, employee must regularly lift and/or move up to 50 pounds. Standing, walking, exposure to temperature changes, dust, fumes, or gases, climbing/ladders, squatting/kneeling, reaching, grasping, pushing/pulling, twisting/bending, lifting/carrying/pushing/pulling up to 50lbs on occasion, folding/unfolding, talking, hearing, and seeing.
