Overview

Reporting to the Senior Event Services Manager at Arvest Convention Center, this Event Manager role focuses on coordinating diverse events, ensuring exceptional client and guest experiences, and managing end-to-end event logistics.


This role will pay a salary of $55,000-$65,000.

Responsibilities

  • Plan, coordinate and execute meetings/events according to the needs of our clients in a timely manner. Maintain constant communication with the client before and during their meetings/events, informing them of deadlines, including but not limited to diagram submissions, set-up specifications for leased spaces, and other related details.
  • Provide the best service possible to every client, patron, and vendor.
  • Research, review and recommend equipment, materials and supplies required to make an event successful.
  • Coordinate outside service needs with contractors, decorators or other vendors.
  • Guide clients in preparation of events by interpreting and explaining use license agreement provisions as well as facility policies and procedures.
  • Issue appropriate paperwork to the proper staff in a timely manner.
  • Assist with special needs or requests from our clients and communicate to our staff in a timely manner.
  • Coordinate service needs with OVG Hospitality and make hospitality arrangements as needed.
  • Maintain record of all event-related expenses, prepare event cost estimates and monitor final billing.
  • Attend weekly staff meetings. Develop and maintain a harmonious working relationship with all other departments.
  • Maintain the proper image and generate positive public relations with clients, patrons and staff.
  • Ensure that the integrity of the facility is upheld in the manner that we and our guest are accustomed to.
  • Communicate with municipal officials, including police, fire and medical services, event staff and public to ensure security of patrons and events run smoothly.
  • Respond to crowd control and/or crowd management situations in a prompt and decisive manner and orally respond in a professional and diplomatic manner during crisis and/or sympathetic situations.
  • Respond to visual and audible alarms from building automation and life safety systems. Make immediate decisions and communicate with all users of the facility in an emergency.
  • Serve as manager on duty, as required.
  • Provide support to BOK Center events as needed and when possible
  • Other events, duties and projects as assigned.

Qualifications

Education and/or Experience

  • 3-5 years of increasingly responsible experience in event management in a stadium, arena, convention center or public assembly facility setting.
  • Bachelor’s degree from an accredited college/university with major coursework in facility management, hospitality management, business, or related field.
  • Trained Crowd Manager certification or ability to obtain certification.
  • First Aid, CPR, AED certification, or ability to obtain certification.
  • Customer service experience is preferred.

Skills and Abilities

  • Professional oral and written communication skills in English.
  • Ability to manage time and multiple tasks efficiently.
  • Strong computer skills in Microsoft Office applications, word processing, email, internet, and data entry systems.
  • Possession of, or ability to obtain, a valid drivers’ license.
  • Knowledge of operational characteristics of a variety of event types.
  • Ability to identify the needs of users of the facility.
  • Knowledge of crowd management and control techniques.
  • Knowledge of customer service practices.
  • Knowledge of principles of supervision, scheduling, and employee training.
  • Demonstrated familiarity with facility use contracts.
  • Knowledge of fire and public safety regulations.
  • Knowledge of A/V equipment and electronic systems in public assembly facilities preferred but not required.
  • Experience with budget preparation and control.
  • Familiarity with terminology used in entertainment/convention/public assembly settings.
  • Experience with AutoCAD and/or Social Tables is preferred.
