Overview

The Event & Guest Services Coordinator will act as a liaison between the venue, its staff, contractors, and clients to ensure details required for the successful preparation, execution, and reporting for assigned space rentals are managed in compliance with the terms of the contract, guidelines, and policies. The Event & Guest Services Coordinator will oversee the recruitment, training, and coordination of event staff in collaboration with the Director of Events. The Event & Guest Services Coordinator will support in-venue community recreation booking and communications with the City of Dawson Creek, user groups, and Venue Staff. Additionally, the Event & Guest Services Coordinator will assist the Director of Events with Live Event planning and execution and administrative tasks. The Event & Guest Services Coordinator is accountable for providing a safe and enjoyable environment for clients, guests, and staff.

 

This role pays an hourly rate of $24.00-$26.44 CAD

Responsibilities

  • Work with building clients and represent the facility to potential facility users.
  • Respond to inquiries regarding facility use and send out food and beverage materials.
  • Assist facility users in finalizing booking arrangements contracts as well as collection of deposits and prepare billing settlements
  • Demonstrate good customer service and communication skills to deal effectively and courteously with staff and the general public
  • Prepare event license agreements, addenda, and related correspondence.
  • Review documents for completeness and accuracy.
  • Assist in following up with facility users regarding deposits, insurance and other related license agreement requirements for assigned events
  • Create and maintain event files; distribute and reconcile event folders and respective checklists for the department
  • Assist Director of Events as requested with Live Event planning and execution—including but not limited to create floor plans, room sets, wayfinding, and/or digital signage, etc.
  • Coordinate and execute the recruiting and training of event staff
  • Enter schedules and payroll hours in payroll system bi-weekly
  • Respond to all customer inquiries within 24 hours
  • Act as the liaison for the City of Dawson Creek regarding the Walking Track, community recreation bookings, and community ice bookings/scheduling when ice is in the venue.
  • Communicate with user groups and venue staff regarding community recreation bookings, walking track schedules, and needs for each group.
  • Address customer complaints and appropriately deal with critical feedback
  • Use historical venue data, post-event surveys and research to enhance the guest experience for guests and Clients
  • Complete all duties with a customer service focus through teamwork & dedication to OVG’s principles
  • Work seamlessly with all in-house departments to ensure consistency, accuracy, and optimal financial opportunities are met throughout the set-up, the duration of, and the tear-down of all events
  • Perform other duties and responsibilities as assigned

Qualifications

  • Experience in a convention centre, sports facility, recreation centre, performing arts facility or other multi-purpose public assembly facility
  • Provide accurate facility information and superior customer service to clients, guests, and staff.
  • Self-motivated with excellent interpersonal and communications skills
  • Demonstrates the ability to function in a fast-paced high-pressure environment
  • Ability to work independently and as part of a team
  • Strong verbal and written communication skills required
  • Detail-oriented and organized working style with effective time management skills
  • Ability and willingness to work a flexible schedule, if requested, including nights, weekends, and holidays
  • Demonstrated proficiency in Microsoft Office applications, including word processing, spreadsheets, and PowerPoint
  • Experience in AutoCAD a plus
  • Assist in maintaining a safe, clean, and positive environment for all staff. Report any injuries and safety hazards to the OHS Committee.
  • Attend and obtain all training certificates and first aid as requested/needed, including Serving-It-Right
  • Any post-secondary education in a related field is considered an asset
  • Must express a willingness to learn and adapt to a changing work environment
  • Handle multiple tasks at one time and meet deadlines
