Overview

The 401k Benefits Coordinator will assist in day-to-day benefits administration for 401(k) and group insurances, including education, enrollment escalations, billing and status changes, and payroll deduction processing. In addition, s/he will facilitate HR administrative functions for all U.S. locations.

This role pays a hourly rate of $33.50 to $39.50

 

Benefits for Full-Time roles: Benefits: Health, Dental and Vision insurance, 401(k) savings plan, 401(k) matching, and paid time off (vacation days, sick days, and 11 holidays).

 

This position will remain open until October 30, 2026.

Responsibilities

  • Process Payroll funding for 401k, HSA, FSA, and Commuter benefits weekly
  • Audit financial benefit eligibility and process plan corrections as needed to comply with the IRS and plan guidance.
  • Assist the Benefits Manager with 401(k) loan administration and 401(k) portal corrections.
  • Assist Benefits Manager in completion of annual 401(k) Audit and assist with annual compliance filings as needed
  • Process vendor file uploads as needed
  • Day-to-day administration, compliance, and communication of health & welfare, retirement, and compensation plans in accordance with company policies, philosophies, and strategies.
  • Track and respond to benefit escalation questions from vendors and HR business partners with guidance from management as needed.
  • Ensures complete confidentiality and security of personal employee information, including enrollment and compensation information, etc.
  • Assist Benefits Manager with group benefits program administration for all non-union employees.
  • Track and respond to benefit escalation questions from vendors and HR business partners with guidance from management as needed.
  • Assist with U.S. benefits communication needs, including mail merges and site training if necessary.
  • Maintain summary plan description records and associated forms, documents, and communications.
  • Coordinate benefits education pieces with the benefits team and Vendor Partners and publish prepared quarterly benefits articles to company intranet site and for publishing to company newsletter
  • Conduct benefit orientation for new employees in person or via Webex as needed. 
  • Process life insurance claims and assist beneficiaries in the claims process as needed.
  • Assist in the open enrollment process, including system testing, communications preparation, and site education as needed.
  • Coordinate Life and LTD conversion notices for terminated employees as needed
  • Perform other duties as assigned.

Qualifications

  • 2-4 years of experience in benefits, including 401k administration.
  • 1-2 years experience with ADP reporting preferred.
  • Experience with US structure and benefits is preferred.
  • General knowledge of benefits and compensation laws and regulations (such as ERISA, HIPAA, 401(k), COBRA, ACA, HSA, and Department of Labor FLSA regulations).
  • Excellent computer skills in Word, Excel, and PowerPoint.
  • Excellent mathematical, analytical, and critical thinking skills.
  • Excellent customer service and communication skills, both verbal and written.
  • Must demonstrate ability to maintain confidentiality in all matters related to employee benefits and compensation.
